Extension Publication Guide

As Extension publications editors, our goal is to work with you to produce high-quality, reader friendly educational materials. Please use this document as a guide when submitting Extension publications to us. The forms you need are listed here:

All official Extension printing—numbered publications, information sheets, miscellaneous items, marketing materials, and special fund items—must go through the established Extension publishing process, including editorial review and graphic design in the Office of Agricultural Communications. We cannot assign Extension publication numbers for items produced outside our office.

New Publications

  • Determine there is a need for a publication.
  • Develop the manuscript. If you will be including photos, charts, graphs, or other graphic elements in your publication, please send them separately and in the program they were created, rather than embedding them in the text file. Use your camera’s highest-quality jpg setting for publication photos, or contact AgComm photographers for assistance.
  • Obtain at least two peer reviews of your manuscript. Use Form 1007. Peer reviews should be completed by MSU colleagues if possible. If no suitable peer reviewers are available at MSU, you may seek review from colleagues at other universities. Peer reviews should not be completed by anyone listed as an author on the publication.
  • Complete the Extension Publishing Request form (Form 137)Please note that both department head and associate director signatures are required.
  • Complete the Copyright Checklist and Assignment for MSU Extension Service Authors. If permission to use materials is required, attach the email or letter granting this permission.
  • Send your text and all required forms to your department head and associate director for their signatures. Your associate director will forward this packet to Keryn Page.
  • We must have an electronic copy of your text, preferably submitted by email. If you need to
    send photos or other items too large for email, please send those on a jump drive via campus
    mail. We will return your jump drive!
  • If you would like to schedule a session with an editor to discuss your publication, please check “yes” on the publishing request form. Otherwise, we will work on your publication and send you a proof as soon as possible.

Revised Publications

  • If your revisions are minor, mark them on the latest available version of the publication. Most publications can be printed from MSUcares.com.
  • If you are doing a major revision of a publication, submit any new text in a Word file, clearly indicating where the text occurs in the publication.
  • Complete the Extension Publishing Request form (Form 137). Please note that both department head and associate director signatures are required.
  • Submit your completed form along with your revisions to your department head and associate director for their signatures. Your associate director will forward this packet to Keryn Page.
  • If you would like to schedule a session with an editor to discuss your publication, please let us know by checking “yes” on the publishing request form. Otherwise, we will work on your publication and send you a proof as soon as possible.
